Why a VoIP Phone System?

Simplicity, integrated features, cost-savings, and professional support are four reasons to consider a VoIP (Voice over Internet Protocol) phone system from MyITpros.

Your business already has a data network connecting your computers, servers and the Internet. VoIP phones operate over the data network so there is one less set of cables throughout the office to maintain and move. Furthermore, you’ll have peace of mind knowing that there’s just one company, MyITpros, managing your data and phone systems together. We make it simple.

Because VoIP phone systems are digital they integrate well with computers and software, and these phone systems provide a level of functionality that traditional analog systems can’t touch. A VoIP phone system, for example, can convert voice messages into email.  So  when you check your email you’ll also be reviewing the messages left for you on your phone. This is one of many productivity and convenience features made possible by VoIP phones. Refer to the Features section below for more information about the range of functionality that VoIP phones provide.

If there’s a way to save you money by getting the most value out of a small business phone system  while achieving the necessary Quality of Service (QoS), you can depend on MyITpros to find it. We’ll work with you and your accountant to recommend the hosted or on-premise system that perfectly balances performance and financial considerations.

MyITpros will manage the hosted or on-promise phone system for you as part of our Managed IT services agreement. You’ll have a trusted business partner maintaining the performance of all your IT systems and ensuring that IT is delivering all that it should strategically for your business.

Hosted or On-Premise

The first decision that MyITpros will help you make is whether your requirements are better served with a hosted PBX phone system, or an on-premise PBX system. This is very similar to the same discussion you’ve had regarding a hosted computer server or on-premise server. The PBX is a phone switch that functions for phones very much like a network server does for your computers.

The advantages of cloud telephony are similar to the advantages of cloud computing.  Rather than buy and maintain a phone switch (the PBX), you rent the PBX and phone line capacity you need. Need  extra lines for a short period of time? No problem with a hosted PBX. Just access your account on the management portal, request additional lines, and they are available to you for as long as you need the extra capacity. In most cases and in a variety of ways, VoIP systems are far easier to manage than traditional PBX systems.

If space is limited in your office, if you plan to move offices soon, or if you want to minimize the initial capital outlay, a hosted PBX solution may suit you. If you prefer lower monthly costs, space isn’t a concern in the office, and you’re not worried about equipment obsolescence, than an on-premise PBX may be the best fit.

Choosing the Best VoIP Solution

Before upgrading to a VoIP system, many of our clients had been using the same analog phone system for 10 or 15 years. The systems weren’t supported by the manufacturer anymore, or parts were no longer available. When they started talking with us and doing their research they realized that the world of voice communications had radically changed since they made their last phone system decision.

Terms like VoIP, hosted voice, hosted PBX, and cloud are relatively new terms. VoIP didn’t surface commercially until 2002, for example. Therefore, the idea of your company’s phone switch being somewhere in the cloud, and your voice traffic traveling over the Internet may be hard to grasp at first. MyITpros will make it simple for you.

As a digital system, the VoIP phones in your company connect to each other and to the PBX switch over your computer network using Internet Protocol (IP), which is simply a communications protocol. That’s how the phone system technology got its name, Voice over Internet Protocol.

Let’s clarify the biggest misperception about VoIP. Using a VoIP phone system doesn’t necessarily mean that your voice traffic will flow over the Internet. MyITpros can configure your VoIP system to connect to outside phones over a traditional landline or over the Internet.

It’s all about Quality of Service (QoS)

In the past you may have experienced disappointing voice quality when using a VoIP phone that transmits calls over the Internet. You certainly don’t want low quality for your business phone. You want to hear your customers clearly. Ensuring that your new VoIP system delivers the voice quality and reliability that you want for your business phones and faxes is the primary reason to have MyITpros on your side.

We provide a current and future analysis of your network bandwidth requirements – both data and voice. Having adequate bandwidth is critical for voice quality because your phones and computers share the network.

We assess your internal bandwidth requirements and the capacity of your existing Internet connection(s) to advise you on the solution that will deliver the Quality of Service level you need.

The Assessment and Deployment Process

Here’s what you can count on from us. We’ll start with asking a lot of questions about your business to understand your growth trends, business trends, technology complaints, and special requirements, etc.

Then we’ll conduct a site survey to identify the voice and data technology in place currently, carefully noting the capacity and bandwidth.

Following the site survey we’ll start crunching numbers to find the perfect intersection of performance and cost.

We then present you with a clear business proposal that doesn’t hide behind a lot of geek speak. We’re located near you in Austin so meeting face-to-face is easy.

Once a decision is made we begin the deployment phase. Our goal is to deploy the new VoIP phone solution as quickly as humanly possible, with little to zero disruption to your day-to-day business. For most of our clients the process is nearly seamless. For instance, on a Thursday they’re using their old phone system; when they come to work

Friday the new phones are in place and ringing  .

From the time you decide on a voice solution to the time you have “dial tone” on your new system is about three  weeks , depending on the complexity of the solution, availability of hardware, and availability of adequate network connection provided by a carrier or Internet provider.

On-going Support

When you work with MyITpros you’ll never have to worry about your phone system again. We’ll include a phone support plan within our existing Managed IT services agreement that provides the level of support you prefer.

While your old phone still works, call MyITpros and ask about a VoIP phone analysis and proposal.
